Terms + Policies
PERSONAL TUTORING INSTITUTE® & BETTERGRADESFAST® TERMS & CONDITIONS OF USE OF SERVICE
- Customer: The individual, organization, or entity that purchases goods or services from the Personal Tutoring Institute or BetterGradesFast.
- PTI: Personal Tutoring Institute.
- Tutorial Session: A period of time during which a student is scheduled to be tutored by PTI.
- Student: The person that partakes in, utilizes, or benefits from services offered by PTI or BetterGradesFast and paid for by Customer.
- Damage: Destruction, defacing, corruption, or alteration in a manner that reduces the value or use of.
- Study Cards: Record cards produced either by PTI, BetterGradesFast, or student that presents the academic content of tutorial sessions in the form of a question on one side, and answer with examples and formulas where applicable on the other side.
- Good Academic Standing: A student in “Good Academic Standing” means a PTI or BetterGradesFast student who has maintained/performed/demonstrated all of the following during his/her entire stay at PTI or BetterGradesFast:
- Completion and submission of all assigned homework in the manner requested by PTI
- Parent’s signature on all completed homework assignments and parent signature request stamps
- 100% attendance and punctuality for the entire duration of service provision at PTI for a minimum duration of 12 months
- Create flash card study cards for each curriculum topic covered during PTI tutorials
- Revise all content covered in the previous week’s tutorial session, evidenced by correctly answering questions on said material
- Guardian’s arrival/presence at PTI or BetterGradesFast office or virtual meeting room within forty-eight (48) hours of PTI request to consult with guardian
- Student has all required tutorial session material which includes but is not limited to (a) All public school notebooks, textbooks, test/exam question papers, test/exam script for the subject at hand (b) PTI or BetterGradesFast Hard Cover Notebook, PTI or BetterGradesFast Exercise Book, Four(4) pens –black, blue, red, green-, construction pencil, clean eraser (c) Hardcopy of all tutorial notes recommended for each tutorial session
- Student notifies PTI or BetterGradesFast Tutor of all upcoming public school tests, quizzes, and exams at least one (1) week before the last tutorial session before the test/quiz/exam.
- All membership/tuition fee payments are paid BEFORE the 1st of each month of membership.
The contents of this document present the complete and only agreement between the customer and PTI and/or BetterGradesFast; and shall supersede any and all previous communication between the customer and PTI, including but not limited to advertising material and verbal communication with staff members of PTI.
PTI and BetterGradesFast Guarantees “Better Grades in Three (3) Months, or We’ll Tutor Your Child FREE,” and "Final exam success or we'll happily refund you," where "final exam success" means a Secondary Entrance Exam grade that facilitates entry to your first secondary school, or Caribbean Examination Council exam grade of 1 or 2. This guarantee applies only to guardians of PTI and BetterGradesFast students that are under the age of seventeen (17) years old and are currently enrolled full-time in a public school registered with the Ministry of Education.
This guarantee is applicable only to a student who maintains “Good Academic Standing” at PTI or BetterGradesFast for the entire uninterrupted duration of his/her stay at PTI or BetterGradesFast for at least twelve continuous months with no service interruption for the "Final exam success or we'll happily refund you" guarantee and at least three continuous months for the “Better Grades in Three (3) Months, or We’ll Tutor Your Child FREE” guarantee.
Free tutoring sessions offered under this guarantee may vary in format and scheduling from regular tutorial sessions, and their duration is decided by PTI or BetterGradesFast. Refunds are only issued as service credit, without exception.
Cash refunds and/or refunds in the form of service vouchers or ‘make-up sessions’ may be offered at the discretion of PTI or BetterGradesFast under the following circumstances:
-  Absence of tutor from paid tutorial sessions,
-  Over-booking of tutorial session,
-  Billing errors originating within PTI or BetterGradesFast.
Registration fees are non-refundable. Refunds are only issued to guardians of students that are paying the full (not discounted) tuition rate, and have paid tuition on or before the due date. Tuition is due on the 1st of the month of tutorial session(s) that the student is present for. Tuition is due for each month of student presence or part thereof. Refunds are not issued in cases of student absence or lack of attendance for part of a given month.
In cases of automatic billing online or via bank payments, Customer agrees that the responsibility to cancel payments lies solely with Customer, and neither BetterGradesFast nor Personal Tutoring Institute will be required to refund tuition payments deducted automatically during periods of absence. Refund processing time varies according to individual circumstances, with an average processing time of thirty (30) business days.
As required by law, PTI and BetterGradesFast may not oblige its employees to report for work on public holidays; hence, there are no tutorial sessions on public holidays. Refunds are not issued for public holidays. In the event of extreme weather conditions or acts of God or dangerous events (including Carnival Friday, Saturday, Sunday, Monday, Tuesday in Trinidad & Tobago) that may pose a danger to students and staff in the opinion of PTI and BetterGradesFast Administration, tutorial sessions may be canceled, and refunds are not issued.
DAMAGE TO PTI PROPERTY POLICY
The guardian of the registered student agrees to accept full financial and other liability to cover any and all loss of income and cost of repair resulting from damages to property owned by PTI as a result of action or in-action on the part of the guardian or student. In the event that student’s actions or in-actions have resulted in property damage (which includes but is not limited to equipment tampering, writing on tables, paint scraping, affixing chewing gum to surfaces, or deliberate misuse of facilities), guardian agrees to pay the full cost of replacing property with identical or upgraded property in new condition within seven (7) days.
MODEL RELEASE POLICY
Customer hereby confers on PTI and BetterGradesFast the absolute and irrevocable right and permission with respect to the photographs that PTI and BetterGradesFast has taken of his/her child in which he/she may be included with others:
- a) To copyright the same in PTI and BetterGradesFast name or any other name that PTI and BetterGradesFast may select;
- b) To use, re‐use, publish and re‐publish the same in whole or in part, separately or in conjunction with other photographs, in any medium now or hereafter known, and for any purpose whatsoever, including (but not by way of limitation) illustration, promotion, advertising and trade, and;
- c) To use the child's name or Customer name in connection therewith if PTI and BetterGradesFast so decides.
Customer hereby releases and discharges PTI and BetterGradesFast from all and any claims and demands ensuing from or in connection with the use of the photographs, including any and all claims for libel and/or invasion of privacy. This authorization and release shall inure to the benefit of the legal representatives, licensees and assigns of PTI and BetterGradesFast as well as the entities for whom PTI and BetterGradesFast took the photographs.
Customer asserts to have read the foregoing and have full understanding of the contents hereof.
ELECTRONIC COMMUNICATIONS POLICY
Customer agrees to receive documentation, notices, policies, and other communication by electronic means. Customer asserts to possessing the means to access such communication via the world wide web.
TUTORIAL SESSION CANCELLATION POLICY
PTI and BetterGradesFast may cancel or reschedule a given tutorial session. Such action shall be preceded by notification to the guardian of the student. A full refund shall be issued in the event that a make-up session or alternative tutorial session date/time is not provided.
SEAT RESERVATION POLICY
We appreciate your commitment to PTI and BetterGradesFast. To ensure clarity regarding seat reservations, please take note of our reservation policy:
- Registration Fee:
- Payment of the PTI and BetterGradesFast Registration Fee does not automatically reserve a student's seat in the tutorial session specified on the receipt.
- Tuition Payment:
- A student's seat in any given tutorial session is reserved only when the guardian pays the tuition in full for the month.
- Reservation Timing:
- To secure a student's seat in a tutorial session, tuition for that specific session must be paid in full within the first seven (7) days of the month.
We aim to provide a fair and organized system for seat reservations to ensure a smooth learning experience for all students. Your adherence to these guidelines is greatly appreciated. If you have any questions or require further clarification, please feel free to reach out to our administration.
ENROLLMENT POLICY AND EXPULSION
We appreciate your commitment to PTI and BetterGradesFast. It's essential to outline our policies regarding refunds, outstanding payments, and classroom conduct.
- Refunds and Expulsion:
- No Refunds: Refunds will not be issued in the event of student expulsion.
- Outstanding Payments:
- Automatic Reassignment: If student tuition payments are not paid in full by the due date, the student's spot in tutorial sessions may be automatically reassigned to another student.
- Admission Rights: PTI and BetterGradesFast reserves the right to refuse future admission to students with poor credit/payment history or for reasons deemed viable by the administration.
- Classroom Conduct:
- Behavior Responsibility: PTI and BetterGradesFast is not responsible for student behavior.
- Expulsion Criteria: Expulsion may occur due to poor conduct, rude or offensive activity, or behavior deemed dangerous to other students or staff.
These policies are in place to maintain a positive and conducive learning environment for all students. We appreciate your cooperation and understanding as we work together to create a conducive learning environment for all students. EXTENDED ABSENCE POLICY
We understand that life may present situations requiring extended absence, and we want to ensure a smooth process for both students and guardians. If a student anticipates being absent for more than one week, we kindly request guardians to notify PTI and BetterGradesFast in writing.
To maintain fair allocation of tutorial session spots, please be aware that a student's seat may be reassigned to another student if they are absent for two or more consecutive tutorial sessions. It's important to note that students are entitled to four tutorial weeks per month per subject, as specified on the official PTI and BetterGradesFast School Calendar.
In the event that a student ceases attending tutoring sessions for more than twenty-nine days, re-registration is necessary upon returning. Please be mindful that a student's seat cannot be reserved during their absence. We appreciate your cooperation and understanding as we work together to create a conducive learning environment for all students.
We believe in the importance of reinforcing learning through homework, and we want to clarify our expectations for your child's academic success. For each tutorial, lesson, or class, homework involves completing all exercise questions related to the covered topic.
The assigned exercises encompass both PTI worksheets/workbooks and the exercises found in the public school textbook designated for your child. To mark homework as complete, we ask that students attempt every question in writing. A crucial step in the process is securing a parent signature at the end of each exercise and on the PTI parent signature request stamp.
Maintaining good academic standing requires a commitment to excellence, and thus, we encourage a 100% completion rate for homework associated with each tutorial, lesson, or class. This practice ensures a thorough understanding of the material covered and supports your child's academic progress. We appreciate your cooperation in fostering a conducive learning environment.
At PTI, we understand that unexpected situations may arise, and we want to ensure our students receive the education they deserve. Therefore, we offer 'make-up classes' – extra tutorials, lessons, or classes provided at no additional cost under specific circumstances.
Make-up classes come into play if, for reasons within our control and falling under our scope of work, PTI is unable to deliver the paid-for services to our valued customers. Please note that make-up classes are not applicable if a student misses a class for any reason, nor are they offered on public holidays.
It's important to highlight that make-up classes won't be provided for the period from Carnival Friday through Tuesday, should classes be canceled due to security concerns as determined by PTI. Our commitment is to provide additional learning opportunities in a fair and equitable manner, addressing situations within our control to enhance your educational experience.
DUTY OF CARE
At PTI, we prioritize the well-being of your child during their scheduled class time. Our responsibility begins when the class starts, ensuring a safe and engaging environment until it concludes. For instance, if your child's class is scheduled from 4 pm to 6 pm, you can trust us to look after them during this time frame.
We kindly ask parents or guardians to ensure timely drop-off and pick-up for their children to and from our premises. Please note that our responsibility is confined to the specified class hours. Outside of these times, we appreciate your understanding that any matters related to your child's safety or well-being are the responsibility of the parent or guardian. We strive to create a secure and positive learning experience for your child within the class hours.
Services are not offered on public holidays. Additionally, refunds or make-up classes are not offered for sessions that fall on public holidays.
We are committed to providing a safe space for both customers and staff, implementing measures to ensure physical, emotional, and mental security. The following policies and procedures are in place to safeguard the well-being of everyone at PTI:
- Restricted Access: Non-student individuals, including parents, are not allowed into classrooms while other students occupy the classroom unless the non-student individual has written security clearance from PTI.
- Security Clearance: Security clearance may be requested in writing, and may involve handing over an original police certificate of character to PTI, demonstrating the absence of criminal records or background.
- ID Check: Presentation of ID to our ID check camera may be required before admission to our premises.
- Access Rights: No individual, even customers, has assumed or otherwise conferred the right of access to any part of our premises. Admission is permitted on a case-by-case basis and may be revoked at any time by a member of staff of PTI, without prejudice.
- Behavior Standards: Unfavorable behavior, whether physical, verbal, or otherwise, may result in an individual being trespassed without prejudice.
- Child Abuse Reporting: If a parent is observed abusing a child in any way, the incident may be reported to the police, and the parent may be barred from further access to our service.
- Online Services: This policy is extended to our online services, with the same commitment to providing a safe environment for all participants.
- Zero Tolerance: We have a zero tolerance policy towards abuse against staff and our students.
- Refunds: Refunds are not offered in the event that an individual is barred from accessing our services under this safeguarding policy.
- Firearm Prohibition: Firearms, including for non-uniformed police officers, are strictly prohibited on our premises.
- CCTV Footage: PTI retains the legal right to store CCTV footage of customers. PTI owns all rights to this footage, retains all copyrights, and has the permission of customers to use this footage as PTI sees fit within the limits of local laws.
This policy is in place to keep students and staff safe at our school, and adherence to these guidelines is crucial for maintaining a secure and conducive learning environment.
We, at Personal Tutoring Institute (PTI), are committed to providing a safe and inclusive learning environment for all students. Bullying in any form is strictly prohibited, and we have implemented a comprehensive anti-bullying policy to ensure the well-being of our students. This policy applies to all students enrolled at PTI, and adherence to these guidelines is essential for maintaining a positive and respectful school community.
DEFINITION OF BULLYING
Bullying is defined as any repeated and intentional behavior, whether verbal, physical, or online, that causes harm, fear, or distress to another student. This includes but is not limited to teasing, taunting, intimidation, spreading rumors, cyberbullying, and physical aggression.
Students who experience or witness bullying are encouraged to report the incident promptly to a teacher, staff member, or PTI administration. Reports can be made anonymously, and all reports will be treated with confidentiality. The school is committed to investigating all reported incidents thoroughly.
CONSEQUENCES OF BULLYING
PTI has a zero-tolerance policy for bullying. Any student found to be engaging in bullying behavior will face disciplinary actions, which may include, but are not limited to, the following:
- Verbal Warning: A verbal warning may be issued for first-time offenses to educate the student about the school's anti-bullying policy.
- Parental Involvement: Parents or guardians may be contacted to discuss the behavior, and a plan for improvement may be put in place.
- Behavior Contract: A written agreement outlining expected behavior may be established between the school, student, and parents to address ongoing concerns.
- Temporary Suspension: In more severe cases, a student may face a temporary suspension from school.
- Expulsion: Students engaged in serious or repeated bullying may face expulsion from PTI without refund. Expelled students may be required to complete a rehabilitation program before being considered for re-enrollment.
PREVENTION AND EDUCATION
PTI is dedicated to preventing bullying through proactive measures, including educational programs, workshops, and awareness campaigns. Students will be educated on the consequences of bullying and the importance of fostering a respectful and inclusive school community.
NO RETALIATION POLICY
PTI strictly prohibits retaliation against individuals who report bullying incidents. Any form of retaliation will be treated as a serious offense, and appropriate disciplinary action will be taken.
RESPONSIBILITY OF STAFF
All PTI staff members are responsible for creating a safe and supportive environment. Staff members are trained to recognize and address bullying incidents promptly. Teachers and administrators will work collaboratively to enforce the anti-bullying policy consistently.
This anti-bullying policy is designed to ensure the safety and well-being of every student at PTI. By adhering to these guidelines, we can foster a positive learning environment where all students can thrive.
SEAT RESERVATION POLICY
At Personal Tutoring Institute (PTI), we value the commitment of our customers to their education. To ensure a smooth learning experience, we have established the following Seat Reservation Policy:
- Tuition Payment: Your seat or spot in a tutorial session is reserved only if your tuition for that session is paid in full before the due date.
- Reservation Confirmation: At any given time, your seat is confirmed and reserved only if tuition for that tutorial session is paid in full within the specified timeframe.
- Alterations to Seat Reservations: PTI reserves the right to alter seat reservations under certain
circumstances. These circumstances may include, but are not limited to:
- a. Changes in a tutor's availability;
- b. Unforeseen scheduling conflicts;
- c. PTI's inability to maintain the initially set roster of classes.
- Notification of Changes: In the event of alterations to seat reservations, PTI will make reasonable efforts to notify affected customers promptly. Customers will be provided with alternative options, and every effort will be made to accommodate individual preferences.
- Refund Policy: If, due to unforeseen circumstances, PTI is unable to accommodate a reserved seat, and suitable alternatives cannot be arranged, a refund or credit for the affected tutorial session(s) may be offered at the discretion of PTI.
This Seat Reservation Policy is in place to maintain fairness, transparency, and to ensure that our customers have a secure and consistent learning experience at PTI.
At Personal Tutoring Institute (PTI), the health and safety of our students and visitors are of utmost importance. To ensure a secure learning environment, we have established the following Biosafety Policy:
- Mandatory Mask Policy: All students and visitors must have a sealed (unused) surgical, KN95, or N95 mask in their possession at all times while on PTI premises. This mask must be immediately worn if the individual needs to cough or sneeze., and kept on for the entire duration of stay at PTI for that day.
- Admittance with Flu-Like Symptoms: Students and parent visitors with flu-like symptoms will not be admitted or may be asked to leave the premises at the discretion of PTI staff. PTI staff holds the absolute authority to instruct students or parent visitors to kindly leave the premises, without prejudice.
- Hand Sanitization: All visitors must sanitize their hands properly upon entry to PTI premises. Hand sanitization stations will be available at designated entry points.
- Handwashing Protocol: All persons using toilet facilities at PTI must wash their hands properly with soap after using the toilet facilities. Adequate signage and sanitation supplies will be provided to encourage and facilitate proper handwashing.
- COVID-19 Testing: Parents of students at PTI give PTI the absolute right and permission to administer a COVID-19 swab test to students in circumstances where the student exhibits only mild flu-like symptoms and may be considered for exceptional permission to remain on the PTI premises. Testing will be conducted with the utmost care and privacy considerations.
This Biosafety Policy is in place to proactively address health concerns and to promote a safe and healthy environment for everyone at PTI. We appreciate the cooperation of our students and visitors in adhering to these guidelines.
AFTER-CARE SERVICES POLICY
At Personal Tutoring Institute (PTI), we strive to provide a safe and conducive learning environment for all students. To ensure the well-being and safety of our students, we have implemented the following After-care Services Policy:
- End of Classes: PTI staff will not remain or be present at the PTI building after the scheduled end time of classes. It is imperative that parents or authorized guardians arrive promptly to pick up their children at the specified class end times.
- Prompt Pickup: Parents or authorized guardians are required to arrive at least 5 minutes before the scheduled end of classes to facilitate the prompt and safe pickup of students.
- Late Pickup Authorization: In exceptional circumstances where a parent cannot arrive on time to collect his/her child, he/she requires written authorization from PTI to collect their child late on a specific day. This must be arranged in advance with PTI administration. Late pickup authorizations will only be granted under specific and pre-approved circumstances.
- Uncollected Students: Students remaining uncollected by parents after the scheduled end of classes and without prior written authorization for late pickup may be taken to the nearest police station for their safety and well-being. PTI holds no responsibility for students after rostered class time end times.
This After-care Services Policy is designed to maintain the safety and security of our students and to establish clear guidelines for the pickup of students after the completion of their scheduled classes. We appreciate your understanding and cooperation in adhering to these policies.
LATE FEE POLICY
At Personal Tutoring Institute (PTI), we appreciate your prompt payment of service fees to ensure the continuity of our educational services. To maintain a fair and consistent fee collection process, we have implemented the following Late Fee Policy:
- Monthly Service Fees Due Date: Monthly service fees are due BEFORE the 1st of each month. It is the responsibility of the customer to ensure timely payment to avoid late fees.
- Late Fee Calculation: A late fee of 10% per week or part thereof will be added to any overdue service fees that are not paid by the due date.
- Notification of Late Fees: Customers will be notified of any accrued late fees through the contact information provided. It is important to keep your contact information updated to receive timely notifications.
- Payment Options: We encourage customers to utilize convenient and timely payment methods to avoid late fees. Accepted payment methods and details can be obtained from the PTI administration.
- Waiver Requests: Requests for the waiver of late fees must be submitted in writing to PTI administration. Waiver requests will be considered on a case-by-case basis and are subject to approval.
This Late Fee Policy is designed to encourage timely payments and to cover the administrative costs associated with late payment processing. Your understanding and cooperation in adhering to these policies are greatly appreciated.
FREE PRODUCT POLICY
Personal Tutoring Institute (PTI) offers certain products free of charge as a service to our users. The following policy governs the use of these free products:
- Provided "As Is": Free products offered by PTI are provided on an "as is" basis, without any warranties or guarantees of fitness for a particular purpose. PTI makes no representations or warranties regarding the fitness of these free products to achieve the expectations of users.
- No Customer Support: PTI does not provide customer support for free products. Users of these free products are responsible for their own usage and troubleshooting, and PTI shall not be held accountable for any support-related inquiries.
- No Accountability for Losses: Users acknowledge and agree that PTI holds itself harmless and shall not be responsible for any losses, damages, or liabilities arising from the use of its free products. Users have no right or remedy to hold PTI accountable for any such losses.
- Revocation or Removal: PTI reserves the right to revoke, remove, or make unavailable any free products at any time without notice or compensation. PTI is not obligated to provide continued access to these products.
By using PTI's free products, users agree to abide by the terms outlined in this Free Product Policy. PTI reserves the right to update or modify this policy at any time without prior notice.
At Personal Tutoring Institute (PTI), we believe that punctuality is essential for creating a conducive learning environment and ensuring the success of our students. To maintain the integrity of our classes, we have implemented the following Punctuality Policy:
- On-Time Arrival: Students are expected to arrive on time for all scheduled classes. Punctuality is crucial for the efficient use of class time and ensures that all students can benefit fully from the learning experience.
- Tuition Payment: Full tuition payment is a prerequisite for class attendance. Students who have not paid their full tuition may be subject to removal from classes.
- Late Arrival Consequences: Students who arrive late may disrupt the learning experience for themselves and others. PTI reserves the right to address late arrivals and implement appropriate measures, which may include counseling, warnings, or other corrective actions.
- Removal and Future Entry Bar: Students who consistently fail to pay full tuition and are repeatedly late for classes may be subject to removal from classes and barred from future entry into free classes. This policy ensures fairness and the smooth operation of our educational programs.
- Communication: If a student anticipates being late for a valid reason, it is the responsibility of the student or their guardian to communicate this information to PTI administration in advance.
This Punctuality Policy is in place to create a positive and productive learning environment. Your cooperation in adhering to these guidelines is crucial for the success of our collective educational journey at PTI.
CHANGES: PTI and BetterGradesFast may change these terms and conditions without notice. Changes to Terms and Conditions is valid if posted on PTI or BetterGradesFast premises or posted on official Personal Tutoring Institute or BetterGradesFast website. Customer agrees to check official PTI and BetterGradesFast website periodically for changes.
